Supply Chain and Import Coordinator
What we are looking for: The Supply Chain & Import Coordinator is responsible for the procurement and import processes for overseas freight imports. This role will involve managing vendor relationships, coordinating international shipments, and ensuring compliance with import regulations.

Back to the role:
What you will do:
- Place and monitor Purchase Orders (PO’s) with multiple vendors, monitor order status, track shipments, determining the cost of deliveries and the best methods of transportation.
- Coordinate international freight shipments, selecting ocean carriers, assign truckers, manage shipping schedules, and ensure compliance with import/export regulations and documentation requirements.
- Monitor shipments from origin to destination, provide updates to stakeholders and resolve any issues related to delays, customs, or transportation.
- Review import documentation for accuracy and compliance with U.S. Customs and international trade regulations; prepare and submit necessary paperwork to brokers for customs clearance.
- Build and maintain strong relationships with suppliers, freight forwarders, and customs brokers to facilitate efficient and cost-effective logistics solutions.
- Collaborate with inventory management teams to monitor stock levels, anticipate demand, and adjust shipping schedules for priority items to maintain optimal inventory levels.
- Monitor and analyze freight costs, assist with negotiating competitive rates with shipping carriers, and find ways to optimize shipping expenses while maintaining quality service.
- Ensure accurate receipt entry of machines, verify serial numbers, and maintain data integrity in ERP system.
- Maintain accurate records in the enterprise resource planning (ERP) system, including purchase orders, shipment details, and inventory updates, ensuring timely data entry and document organization.
- Collaborate with team members to enhance purchasing and logistics processes, focusing on efficiencies in procurement, order tracking, and freight management.
- Proactively identify and address any logistical issues that could impact delivery timelines, coordinating with internal teams as needed.
- Produce and maintain reports on freight costs, delivery times, and inventory turnover to support decision-making and provide insights to management
- Research vendors and collect prices, specifications, and other data related to goods and services.
- Coordinate with receiving and accounting teams to approve supplier and logistics invoices, ensuring accurate landed cost recording.
- Create and maintain spreadsheets for data analysis to support various logistics and purchasing activities.

- Must demonstrate proficiency in MS Office (Excel, Word, PowerPoint, etc.) with strong presentation skills.
- Experience with an ERP system a plus.
Education and Experience:
- High School diploma required; Associate’s degree preferred.
- 2-4 years’ experience in a supply chain coordination, purchasing or international logistics.
